Job Description

Summary

The operations manager has a huge responsibility in a business or an organization. He/she helps the executive managers and directors of Atlantis Corporate Travel in devising plans that will be useful to the business’ success in the operations department. The operations manager makes sure that the company uses those plans and puts them into action. He/she assists in the production, sales and pricing and the distribution of the travel services offered by Atlantis Corporate. 

Main Duties

The operations manager’s main task is to create travel consultants work procedures and assigning daily tasks. The operations manager interviews potential employees before directing them to the manager. He/she may be responsible for helping to train the new consultants, and assisting in their getting accustomed to their new job. He/she also helps in the decision-making when it comes to the activities done in the office, such as production, the resale and the allocation of sources. The operations manager coordinates with the different departments within Atlantis to ensure that all tasks executed are of best quality. Lastly, the operations manager will be responsible for completing paperwork related to employees’ attendance, performance and their payrolls. He/she will also attend meetings with clients.

Required Qualifications

Education and Training Requirements

  • An operations manager must possess a high school       diploma/degree in Travel & Tourism.
  • GDS experience
  • Fares & Ticketing
  • Matric

Knowledge and Skills Requirements

To become a successful operations manager, one must be able to implement directions and follow them accordingly. He must be a team player. An operations manager must have good communication skills, organizational skills, leadership and interpersonal skills, advanced computer skills and analytical skills. He/she should be driven and goal-oriented.

General Details

Working Conditions
The operations manager works on his desk at least 9 hours daily, during weekdays and sometimes weekends in order to complete deadlines and also conduct client visits.

This is purely office based.

Additional Tasks

  1. Tickets invoicing daily and check corrections
  2. Adm’s and Acm’s
  3. Refunds – clear all refunds before month end
  4. TJQ/TINS reports daily – make sure all tickets issued and all in order
  5. Training of staff
  6. Making sure all TM’S are up to date with their training sheets
  7. Manage service fee’s updates
  8. Service VIP clients
  9. Service new clients testing us
  10. Checking that all regional and international fares are correct and best 3 options given
  11. Checking that all regional and international accommodations are correct
  12. Manage all the TM’S
  13. Supplier Negotiations – Hotels- Car Hire- shuttles- Airlines
  14. Follow up on all contract’s expiry dates
  15. Attend client meetings when required
  16. After hours back up when required
  17. Manage leave applications for all staff with HR Manager
  18. Respond to all complaints
  19. Manage the late shift register
  20. Manage the weekends and holidays register
  21. Make sure all EMD’S are invoiced
  22. Make sure all teams have all invoicing done by month end
  23. Assist HR Manager in recruiting new staff for your department
  24. Make sure all systems are working daily – Quicktrav- SMS – EMAIL- Amadeus-Galileo –Frontdesk – Communicator
  25. Assist TM’S with complex fare requests and queries
  26. Control all leisure bookings – payments received before issuing
  27. Meetings with TM’S to discuss consulting issues regularly
  28. Meetings with TM’S weekly to discuss clients that are not busy which then you need to advise directors
  29. Meetings weekly with Managers
  30. Back up for issuing tickets after hours
  31. Issuing tickets daily and checking entries are correct
  32. Checking and authorising Land Arrangements
  33. Preparing BSP files for the person doing the BSP – after month end
  34. Check the teams figures and transactions for the month and have meetings with all of them with Prince and Andrea
  35. Manage the ATLANTIS SUPPORT 24/7
  36. Manage traveller profiles
