Job Description
The main objective of this role is to maintain mutually beneficial relationships with suppliers, delivering service excellence and positively promoting the Company brand. This is achieved through exceeding the suppliers’ expectations and minimising the risk to the company by ensuring all vendor accounts are strictly monitored.
Creditors
- Manage the Creditors Clerk.
- Ensure that weekly vendor listings are received and sign off.
- Ensure that all agewise reports and queries are current.
- Assist with queries as they might arise.
- Ensure that the Finance Manager gets the month end reports timeously.
Banking
- Do weekly bank recon for Flightsite and Investec bank accounts.
- Manage Banking and Speed Pointing clerk to ensure that the above deadline is met and all queries are current.
Debtors
- Manage the Debtors Clerk.
- Ensure that weekly vendor listings are received and sign off.
- Ensure that all Agewise reports and queries are current.
- Assist with queries as they might arise.
- Ensure that the Finance Manager gets the month end reports timeously.
Credit Card Support Clerk
- Maintain weekly recon’s of the VNETT credit cards.
- Manage the Credit Card Support Clerk to ensure that the accounts and queries are always current.
FSA Support Clerk
- Sign off weekly listings of the via debtors report and Protas Agewise.
- Authorise any refunds or commission payments as requested by the FSA Support clerk.
- Mail payment requests to the banking clerk to request relevant payment to be made.
Back Office Hotel - International Payments
Ensure that the invoicing clerk has raised all the OTA back office hotel bookings correctly.
Marry invoices to statements from back office vendors monthly.
Pay over all invoices raised in Flightsite books to OTA at the end of every month in a batch.
Send off payment request to Club Travel Head office to process the International Payment to OTA.
Raise the relevant entries in the OTA books for payment processed to OTA.
Raise journal once payment is processed for the forex difference as soon as payment has been made.
Reports
- Weekly reports to be compiled as needed by the Managing Director for SA Travel Online and FS Agent divisions.
- Compile Pick n Pay Smart shopper report monthly and mail to Pick n pay to allocate client points.
- Compile Achievement awards reports , expense and mail statements to relative people at month end.
- Ad-hoc reports as needed and requested by General, Finance and Marketing Managers.
Expenses
- Raise all expenses as requested by Management.
- Ensure all expenses are processed and paid and mail proof of payments to relevant Manager.
- Manage all expenses raised on Fraxion as soon as it is live.
IT and Tech duties
- Manage all IT and tech related issues such as banking tokens and accesses and log in’s as the needed.
- Go between for finance and IT Support.
- Raise all relevant issues with Club IT for any issues being experience in Finance with the loading of new vendors etc.
Protas
- Accurately process all protas actions queued.
- Clear all actions daily
Ad-Hoc
- Check and attend to any e-mailed queries
- Update and clear pending query file on e-mails
- Acknowledge queries , complaints and queued Protas actions within 24 hour
Required Qualifications
Qualification:
- Team Leader experience advantageous
- Knowledge in Financial administration, debtors, creditors and banking
- Outgoing and approachable with excellent customer service skills
- Excellent verbal and written communication skills
- Computer Literate (Advanced Excel required)
- Attention to detail
- Ability to excel under pressure
- Knowledge of financial accounting advantageous
- Excellent organisational skills
- Team player
- Contactable references required for having worked in Financial administration, debtors, creditors and banking
