Job Description

Professional service delivery to client by attending to all clients travel requirements:

Key performance Areas:

• Compiling innovative incentive tour itineraries and sourcing the best suppliers per tour
• Quoting and Reservations
• Client Service - attending to the Group’s travel requirements & providing professional service at all times
• Respond to clients ASAP (quick turn around time)
• Booking and processing accurately and on time flights and all land arrangements
• Excellent presentation skills
• Effective organisation of any Foreign Exchange requirements
• Travel Insurance - ensure the group's needs are accurately met
• Visa Service - timeous and accurate
• Assisting and handling the special needs of individuals – breakaway bookings, special meals, requests et
• Handle client queries as per the Service Level Agreement or by agreement with the client
• Handle emergency situations - as per the Service level Agreement or by agreement with the client
• Quote - as per the Service Level Agreement or by agreement with the client
• Organise timeous delivery of all travel documentation
• Manage financials - maintain and ensure accurate
• Manage own special information and documentation
• Adhering to supplier deadlines and cancellation policies

Secondary Functions
• Check news on computer daily for updated knowledge and changes in the Incentives Travel industry
• Ensure product knowledge is updated regularly e.g. airfare changes, new products, destinations etc.
• Update and gain product knowledge through educationals and/or
• familiarisation trips to hotels, cruise boats,etc.
• Pre-tour site inspections
• Attend Industry workshops regularly
• Online destination workshops to stay up to date with trends etc
• Liaise with various suppliers - representatives
• Assist other consultants when required

Qualification:

• Excellent Destination / Product Knowledge
• Knowledge of preferred suppliers
• Ability to source new suppliers if required
• Use initiative and creativity in dealing with clients - ensure client satisfaction
• Competency in managing group flight bookings and all rules thereof
• Ability to deal effectively and productively with clients - ensure sales
• Marketing, Presentation and Selling skills
• Multilingual / Bilingual
• Ability to work under pressure; independently and part of a team.
• Organisational skills - ability to multi task
• Time management skills - ability to prioritise, plan and meet client deadlines
• Attention to detail - accuracy is vital
• Methodical - ensure all information is correct and complete
• Competency and full understanding of the handling of international payments in different currencies
• Excellent knowledge of Forex rules and regulations
• Excellent group handling ability and attentiveness to client’s needs while on tour
• Excellent admin skills (collection of monies, invoicing etc.)
• Computer literacy and accuracy - literate in MS Office
• High competence required in use of Galileo
• Competency and understanding of V-MPD’s and the issuing thereof

Qualifications and experience
• Full understanding of Galileo reservations system
• Fully conversant with MS Office
• Knowledge of Quicktrav
• Travel qualification required
• Project management
• Tour Leader Qualification
• At least 3 years previous experience as an Incentives Travel Consultant.
• Extensive travel (personal/educational) an advantage - ensure high efficiency
