Design, implement and manage incentive trips and groups

Liaison with international agents
Writing incentive proposals
Developing creative itineraries that meet the client’s needs
Make and coordinate all bookings relating to the incentive trip
Assist Incentive Manager with the development of all documentation for the trips (tour-leading manuals; daily programmes; itineraries; achievement documentation)
Co-ordinate all VISA requirements for groups
Co-ordinate registration forms and master lists for groups
Co-ordinate the entire incentive programme
Be available to Tour Lead some programmes as required
Provide general back-up support to the Incentive Manager
Assist with researching destinations as required
To competently handle all aspects of Conferencing and events reservations, which would encompass: venue sourcing and booking; co-ordination of events; fare and rate negotiation; car hire & transfer bookings as well as any applicable flight reservations
Ensure excellent customer contact and service by providing an error-free service.
FINANCIAL
Develop conference quotations and bookings for client
Develop event quotations and bookings for client
Ensure that quotations are in line with client’s budget
Reconciliation on completion of groups.
BUSINESS PROCESS
Competently handle all aspects of conferencing and events reservations
Maintain changes to procedures
Booking changes
Transfer bookings
Hotel bookings
Premier lounge bookings
Enforce the client’s travel policy and report any exceptions.
CLIENT INTIMACY
Ensure excellent customer contact and service by understanding market forces and developments and how these may impact on service requirements.

Qualification:
QUALIFICATIONS AND EXPERIENCE
Qualifications
Required (not-negotiable):
Certificate / Diploma in Travel and Tourism / equivalent NQF Level 5
Galileo Reservation Certification.
Knowledge
Required (not-negotiable):
Basic knowledge of accounting principles/administration
Basic knowledge and understanding of client relationship management
Knowledge and understanding of relevant Rennies Travel processes and policies
Knowledge of various sites suitable to host conferences/events.
Experience
Required (not-negotiable):
5 years relevant experience
Experience in handling all conferencing and events bookings.
