Job Description

Responsible for providing travel services for the Concierge & Membership Rewards clients handling any deviation travel requests, focusing on client's requests and requirements. This is inclusive of air, hotels, packages, car hire and any travel related services. Also responsible for maintaining a high level of customer service to clients.

Reports
 Monthly feedback on amount of quotes versus conversion
 Top destinations and products sold
Bookings
 Ensure that all relevant details are obtained from clients
 Create all the necessary entries in Amadeus avoiding any
fictitious information
 Process client requests by conducting all required
reservations
 Build relationships with clients to ensure repeat business
 Book air travel with various airlines bearing in mind our
company’s relationship with preferred carriers
 Book car hire using preferred suppliers wherever possible
 Book hotel accommodation and travel packages, also
remembering to use preferred partners
 Provide clients with information with regard to travel
Insurance

 Manage and control your own queue in Amadeus
 Arrange collection and delivery of travel documentation
 Provide clients with travel itineraries
 Arrange visas on request and provide relevant information
 Follow-up on e-mail enquiries
 Prepare and process quote requests
 Sign on to Dashboard daily to obtain updates
 Ensure that you update your product knowledge on an ongoing basis so that you maintain good knowledge
 Accountable for all cash sales from clients
 Using TDT for ticketing and Vouchers where required
 Using of Swipe Request Form
 Using of Invoicing Request Form
 Obtaining CCCF copies where required
 To ensure all monies are collected
 Accountable for all ADM’s and errors – must work accurately at all times
CRM Processes
 Fully comprehensive confirmations detailing all
options/rules and restrictions/cancellation fees/change fees/ticketing time limits
 Full understanding and following of divisional procedures
 Full understanding and use of right fax
 Accepting responsibility for your work and that of colleagues
 Full understanding of transaction fees
 Full use and understanding of Communicator and CRM
 Ability to follow paperless procedure and 100% use of quality control
 3 international quotes, 2 domestic quotes, including the cheapest quote at the time
 Logging all quotes, confirmations, client correspondences, tour operator quotes etc in CRM daily
Teamwork
 Assist with any task assigned to you by Management
 Provide assistance to your team where necessary
 Build a good team spirit with colleagues
 Feedback as to whether tasks are completed in time and also attitude towards assisting others
 Teamwork – assist your team as well as fellow colleagues as and when required.
Customer Service
 Handle client queries and solve problems when necessary
 High service levels / High performance culture
 Same day turnaround, maximum 24 hours
 Offer programme benefits to all clients
Adhoc Duties
 Assist Manager with ADM’s, errors and complaints, where
possible
 Assist Manager with staff queries and problems
 Any other tasks as requested by the Manager from time to time
Operational Duties
 Following of Leisure Policies and Procedures on Dashboard
 Commitment and alignment to Tourvest’s preferred partners
 Adhering to SOP (Standard Operating Procedures) manual
 Achieving monthly target as per target letter
Interrelations
 Attendance of company meetings and functions/team building
 Attend scheduled trainings
 Available to quote VIP clients onsite
 Corporate in-house visits two in-houses per month

Required Qualifications

Qualification:
Excellent product knowledge
Excellent geographical knowledge
Fares course successfully completed
Knowledge of inter-airline policies and endorsement procedures
Understanding and ability to interpret, explain and follow fare rules
Full understanding of BSP
Fully conversant with preferred partners frequent flyer programmes
Full understanding of forex
Full understanding of insurance
Full understanding and use of fare finder/best fare on the day

 Matric
 Relevant travel qualifications
 Fare and ticketing basic course
 Amadeus – full course
