Job Description
Main Purpose
Managing the Creditors processing team by ensuring the timeous and correct processing of all Supplier Invoices received via e-mail, post and courier by managing the processing. Management of the scanning process and QC (Rural function ). Back up for 30 day account Accounts Creditors Team leader.
Duties and Responsibilities
- Responsible for the following and will report the Group Operational Accounts Manager /Financial Director.
- Ensure all prepayments in area of responsibility are actioned within deadline and SOP scope. Ensure that prepayment clerk in your area of responsibility action all queries on listings within 48 hours . Ensure processing of all supplier invoices received are invoiced in accordance with SOP . Ensure that invoices with queries are accurate and followed up with relevant parties. To ensure documents scanned to Papertrail are in the order as per the SOP. Ensure that the Quality Controlling, Collating and Dispatch of the Rural account invoices are done within the prescribed time period.
- Checking and Signing off of Daily Prepayments before the daily deadlines given by the Banking Team.
Staff Responsibility:
- Regular staff meetings. Assist staff with supplier and internal queries. Coach and mentor staff in their respective duties. (Will be assisted by Corporate Accounts Manager). Ensure job descriptions are kept up to date. Keep team motivated to ensure all deadlines are met. Manage the team in respect of performance, leave, absenteeism, training, etc.
Supplier Responsibility
- Ensure that supplier queries are handled timeously by staff within a 48 hour turnaround period. Assist with client queries/supplier queries that cannot be delegated. Ensure availability when Creditors Clerk Team leader is not available to take a call.
Required Qualifications
Qualification:
- Minimum 3 years in a leadership position
- Ability to display leadership qualities
- Outgoing and approachable with excellent customer service skills
- Excellent verbal and written communication skills
- Computer Literate
- Attention to detail
- Ability to excel under pressure
- Outgoing and approachable with excellent staff skills
- Knowledge of accounting essential
- Excellent organisational skills
- Team player
