Job Description
General Purpose
• Reporting to the Finance Manager, the MIS Data Manager will be responsible for complying MIS reports for the company.
• Ensure the integrity and security of the company’s financial systems and procedures.
• Ensure efficiency and effectiveness of the day-to-day functions within the MIS Department.
• Ensure the function is positioned such that it can deliver value.
• Ensure he/she is an active member of the Finance Management Team and can act as a proactive business advisor when it comes to managing MIS and DATA within the company.
• Communicate regularly with all stakeholders on finance.
Key Tasks and Responsibilities
a) General
• Establish work standards, develop objectives and design/maintain effective work-flows and operating procedures to improve efficiency and effectiveness.
• Develop policies, procedures and work instructions for review and approval by EXCO and recommend modifications to existing company policies and procedures as they relate to finance.
• Take ownership of the daily, weekly and month-end MIS DATA processes including reconciliations, analysis and reporting.
• Provide support/direction for process or problem resolution.
• Ensure client queries are resolved within two business days.
• Ensure appropriate financial policies, procedures, and internal controls are in place, documented, and operating as intended.
• Ensure the strict confidentiality and privacy of MIS transactions as they relate to the organization and its customers.
• Manage successful year-end audit where it comes to MIS DATA.
• Actively participate in strategic initiatives and special projects when assigned or required.
b) Productivity
• MIS Reports for Clients to be submitted by due date
• MIS Reports for Suppliers to be submitted by due date
• Follow up with KAM/Sales/Operations Managers on new clients and type of reports required
• Ensure reports are formatted as per client request
• Assist with KAM/Travel Managers where travel reports are required.
c) Financial Policies and Procedures:
• Identify all risk areas.
• Ensure proper internal systems to ensure risks are mitigated.
• Compliance with financial policies.
• Reports on compliance issues to Finance Manager.
• No material items identified by both internal and external auditors.
• Ensure all finance related documents available online.
• Identify and implement IT utilisation that will improve finance productivity.
d) Operations
• Ensure all published Airfares are 100% correct
• Ensure Published Savings codes are captured correctly
• Ensure cost saving is captured correctly
• Ensure names and surnames are correct as per required Duma Standards
• Ensure all documents have a consolidated page captures air and land transactions
• Acknowledge e-mails
• Advise consultants and Finance of Invoice errors
• Notify Operation Manager / Branch Managers of problems on travel data downloaded
• Notify Finance/Operations managers of duplicate transactions on MIS reports
• Notify Finance/Operations Manager of missing service fees on MIS reports
• All new travel reports to be saved and be able to be viewed by other users
e) Client Ad-Hoc Reports
• Ensure that all adhoc reports requested by clients are accurately and adequately completed
f) Customer Service
• Identify query/problem/complaint timeously
• Resolve the query/problem/complaint immediately.
g) Travel Data
• Download and clean up required format to MIS company for collation of clients reports
1. Leadership and Management:
• Define opportunities, communicate vision and goals in a way everyone understands, know what most important and set priorities are, ask for commitment, follow up on progress being made, and promote accountability.
• Encourage staff to work with Finance Administration, Operations and other related departments to resolve any outstanding issues timely.
• Coach regularly, promote responsibility-taking, communicate expectations with clarity, ensure differences are resolved, make meaning of events for others, and share information.
• Guide recruitment, key staff retention, staff training and performance management.
• Make and keep commitments, seek opportunities to partner with clients, be optimistic and anticipate client and staff needs.

2. Reporting
• Design and test new reports evaluate existing reports and develop a more efficient means of gathering and reporting data.
• Satisfy the needs of all internal requirements and those of external parties like clients.
This includes:
* The preparation of weekly and monthly reports for the Directors, Finance Manager and relevant clients.
* Working to detailed timetables to ensure that actions on the critical path are identified and deadlines are met.
* Having in place the staff and contingency plans to ensure that all reports are submitted on time despite unforeseen circumstances.

Required Qualifications
Qualification:
Education & Training
• University or College Degree or Diploma in Accounting.
• Minimum 3-5 years’ experience working in Management Accountant role.
• Strong systems background.
• Proficiency with Microsoft Office applications, particularly Excel.
• Previous experience in Travel would be considered an asset.
