Job Description

Senior Events Coordinator at an established PCO (Professional Conference Organizer) based in Bryanston
 
Daily responsibilities include, but are not limited to:
  • Daily liaison with clients/suppliers/venues/office staff
  • Implementation and execution of a variety of events, conferences or small tours
  • Management of third party suppliers
  • Onsite event management from set up to closure
  • Managements of various social media campaigns
  • Management of various company databases
  • Ensuring client’s expectations are met and the highest delivery of service is driven through the business.
  • Ensuring that clients are offered the best available prices and products.
  • Continually looking for creative ideas and reviewing product offerings for clients.
  • Building and retaining relationships with clients.
  • Ensuring effective communication with clients at all times.
  • Ensuring that all correspondence, documentation, proposals, presentations are delivered accurately and timeously.
  • Following up with clients and on new leads
  • Establish reason for decline on proposals
  • Ensuring that job bags (event folders) are kept up to date at all times.
  • Ensuring that all financials are maintained and accurate.
  • To be financially accountable for each aspect of the file/event.
  • Following-up with clients and suppliers on a continual basis with regards to outstanding payments and information.
  • Building and maintaining good relationships within the team.
  • Pro-actively getting involved as needed.
  • Assisting in areas of your expertise. 
Requirements
  • Events Management Skills
  • Experience with exhibitions, product Launch's, road shows, corporate events, conferences & incentives
  • Creativity
  • Prepare and present proposals
  • Manage an event from start to finish including the management of the budget in excel
  • Liaise with various role-players and suppliers and facilitate the smooth running of the event
  • Social media management
  • Strong administration skills

Required Qualifications

  • Minimum of Matric qualification
  • Degree or Diploma in Travel / Tourism / Marketing

General Details

Essentials
  • Minimum of five years' experience gained in coordinating events is essential including references
  • Strong operational knowledge and experience
  • A valid driver's licence and own reliable vehicle
  • As a requirement of the position it is essential that the candidate is able to work hours in addition to normal working hours including weekends occasionally
  • Be willing to travel occasionally
  • Long hours and some weekend and public holidays
  • Flexibility to assist colleagues out of normal office hours, when and if required.
Computer Skills
  • MS Word, Excel (including formulas), PowerPoint, Outlook, Internet
Advantageous
  • MICE Experience (Meeting, Incentives, Conference and Events)
  • Banqueting/hotel experience
  • Sales experience
